We are looking for a project coordinator to join our winning team in Boston. Please note this is a hybrid position that requires three days in the office per week and two days of remote work.

Position Summary

This entry-level position will involve supporting our Boston-based team and the clients we serve by providing administrative support for our team, building and managing relationships with project coordinators on client teams, and generally facilitating the work of the team. The position will provide the right candidate with direct exposure to big-picture policy and strategy development with some of the nation’s top political, policy, and thought leaders. Some of our current and former clients include the Black Policy Institute, CityHealth, the Collaborative for Gender and Reproductive Equity, Citizens for Responsible Energy Solutions, Center for Secure and Modern Elections, Inseparable, National Council for Mental Wellbeing, the Pipeline Fund, the Trevor Project, Voices for Healthy Kids, and more.

Responsibilities
  • Coordinate scheduling for client-related, internal, and external meetings.
  • Provide administrative and logistical support to Civitas team on project and client management.
  • Manage external communication (including written correspondence and phone calls) with partners, colleagues, and clients.
  • Assist with new media, client-related research, and writing.
  • Plan business travel and related arrangements.
  • Support with finance, invoicing, and general reporting activities.
  • Prepare the office in advance of meetings.
  • Collaborate with the support staff in other Civitas offices.
  • Perform other duties as required and/or assigned.
Qualifications
  • Bachelor’s degree required or at least 3 years of relevant experience.
  • Strong organizational skills.
  • Clear written and verbal communications skills.
  • Impeccable attention to detail.
  • Team-oriented, professional, and discreet.
  • Strong computer, web, and technology skills (particularly proficiency in Microsoft Office suite, including Word, Excel, PowerPoint, and with an emphasis on Outlook).
  • Experience with social media best practices.
  • Ability to multitask, determine priorities, and follow through on responsibilities in a fast-paced environment.
  • Passion for making the world a better place, combined with a sense of humor.
Compensation

The salary range for this position is $50,000 - $55,000 per year, commensurate with experience. Civitas also offers opportunities for a bonus through an annual review process and an excellent benefits package including coverage for health, vision, and dental insurance premiums; paid parental leave; time off including vacation, holidays, and wellness days; 401(k) with an employer contribution and additional benefits.
